The problem
Manufacturers and distributors run their channel on personal relationships and phone calls, which works until it does not scale. A dealer in a small town wants to know the current price of an SKU, whether it is available, and what they still owe. Each of those is a call to a sales officer who is driving between accounts. The dealer waits, the order slips a day, and the sales officer spends their week reading out prices instead of opening new accounts. Orders arrive as voice notes and photographs of handwritten lists, and somebody in the back office types them into the ERP — where the typing mistakes are made.
What the agent does
Gives dealers the current price list. Dealer-specific pricing and scheme details, quoted from your live rates rather than a PDF from last quarter that is still circulating on WhatsApp.
Answers stock availability. Whether an SKU is available and roughly when it ships, so a dealer stops ordering things that are not there.
Takes repeat orders as structured data. The dealer orders in chat and it arrives in your ERP as a validated order with correct SKU codes and quantities — no voice note, no photograph of a handwritten list, no retyping.
Shows outstanding and order status. Balance, credit position and where the last dispatch has reached — the two questions that otherwise go to accounts and sales separately.

Frequently asked questions
- Our dealers are not technical. Will they use it?
- They already use WhatsApp for orders — usually as voice notes and photos of handwritten lists. This does not ask them to learn a new tool; it makes the tool they already chose produce clean data at your end.
- Can pricing be different for each dealer?
- Yes, and it has to be. The agent identifies the dealer from their number and quotes their rates, their schemes and their credit terms. A shared price list would be worse than useless.
- Does this replace our sales officers?
- It removes the price-reading and order-typing from their week. The relationship, the new accounts and the difficult conversations are still theirs — and they get more time for them.
- What if the ERP is old?
- Most are. If it has any kind of API or database access, the agent can read and write to it. Where it genuinely cannot, we will say so rather than build a system that quietly falls out of sync with your stock.
- Can dealers order in their own language?
- Yes. Mixed Hindi and English in one message is normal in a dealer network, and the agent is built to handle it rather than ask them to rephrase.
